MODULE · COMPLETION & DEADLINES

No matter is left lying around.

Most of the recurring work in a notary’s office is not in the draft but in what follows it: filings, consents, deadlines, replies. German practice calls this stage Vollzug. NotarFlow runs the chain and you keep the decisions.

IN DETAIL

The chain runs. You decide at the gates.

Completion chains per deed type.

For every deed type it is set down what has to happen after notarisation. For a property purchase: apply for the priority notice of conveyance (Auflassungsvormerkung), notify the real estate transfer tax, ask the municipality about its right of pre-emption, request the release documents. Every letter sits prepared in the approval view.

  • Chains are defined with you and released by you
  • Conditional steps depending on the case, such as the administrator’s consent in condominium sales
  • The purchase price is declared due only once every precondition is evidenced

The deadline watchdog does not sleep.

Statutory deadlines and your own follow-ups run as a traffic light across all matters: the two weeks for the real estate transfer tax notice, the fourteen days until the entry in the register of deeds, whatever else you have set.

  • One queue across all matters, sorted by urgency
  • Overdue, due soon, open: at a glance
  • The state of a matter gives a dependable answer at any time

Replies find their own matter.

The bank’s consent to cancellation (Löschungsbewilligung), the waiver from the municipality, the tax clearance certificate (Unbedenklichkeitsbescheinigung) from the tax office: the inbox recognises what is coming back, assigns it to the waiting step and moves the chain on.

  • Matched by file reference, land register entry and parties
  • Ambiguous post lands in a matching queue, not in the wrong matter
  • No deadline is moved on quietly: uncertain cases are decided by a person

Only what you release is sent.

Every prepared letter, every application waits in the approval view. You see the recipient, the content and the reason, correct where needed and release. A log holds every decision.

  • No automatic dispatch, in any case whatsoever
  • Rejecting with a reason leads to a correction, not into the void
  • The closing fee note at the end of the chain uses the GNotKG engine

QUESTIONS ABOUT THIS MODULE

Answered briefly.

How does NotarFlow know our workflows?
The completion chains are recorded with you during the introduction and released by you. The system does not invent steps; it runs the chain you have confirmed.
Does this work with paper post as well?
Yes. Scanned paper post is read locally and matched just like electronic replies. One central scanning point is enough.
What happens when a reply cannot be matched?
It lands in a matching queue with candidate suggestions. The match is made by your team, not by chance. Only then does the chain move on.
